An expert can view a list of meetings he is assigned to that have not yet taken place within the common list of meetings he is in as a user or expert.
From the details of the meeting, the expert can switch to the chat or start a chat with the user.
Confirmation of a user-suggested appointment
If the scheduled start of the meeting has not yet occurred, the "Meeting Status" is "Awaiting Approval" and the expert has not yet responded, then the expert can confirm the meeting.
If the expert already has a confirmed appointment with an overlapping time, the expert will be notified in the confirmation dialog that he already has another appointment at the given time.
If successful, an “Expert Approval” event is recorded on the meeting timeline. The "Meeting Status" will change to "Agreed" and a meeting will be automatically created on the video conference platform as well.
Decline a user-suggested meeting
If the scheduled start of the meeting has not yet occurred, the "Meeting Status" is "Awaiting Approval" and the expert has not yet responded, the expert can reject the meeting. When rejecting a meeting, he selects from the list "Reason for rejecting the meeting".
If successful, a “Rejected by Expert” event is recorded on the meeting timeline. The user's credits blocked by this meeting will be unblocked, and the meeting's “Credit Payment Status” will be set to “Returned”. “Appointment Status” will change to “Rejected”.
Designing a meeting by a user
The expert can propose a new meeting to the user in the case of an existing meeting or in the chat.
To propose a meeting, fill in:
- Selected expert service
- Skill
- Meeting date
- Meeting time
- Length (minutes)
- Price in credits
If successful, a new meeting will be created with an assigned user and a "Meeting Status" of "Awaiting Approval". The appointment will be confirmed by the expert (because he created it) but not by the user. An "Expert approval" event is recorded on the meeting timeline and a "Expert meeting invitation" notification is sent to the user.
Canceling an unconfirmed meeting suggested by a user by an expert
If the scheduled start of the meeting has not yet occurred, the "Meeting status" is "Awaiting approval" and the user has not yet responded, the expert can cancel the meeting.
If successful, the meeting is canceled. And the “Meeting Status” will change to “Cancelled”.
Canceling a scheduled meeting
If the scheduled start of the meeting has not yet occurred and the "Meeting Status" is "Agreed", the expert can cancel the meeting. When canceling a meeting, he selects "Reason for meeting cancellation" from the list.
If the meeting is canceled more than 48 hours before the start of the meeting, the confirmed meeting will be cancelled. Credits will be unblocked by the user and the meeting will set the “Credit Payment Status” to “Returned”. The "Cancellation by Expert" event is written to the meeting timeline. The notification "Cancellation of meeting by expert" is sent to the user. And the “Meeting Status” will change to “Cancelled”.
If the meeting is canceled less than 48 hours before the start of the meeting, the expert must confirm the form. After confirmation, the meeting will be canceled. The credits will be returned to the user and the meeting will set the “Credit Payment Status” to “Returned”. The "Cancelled by Expert" event is written to the meeting timeline. The notification "Cancellation of meeting by expert" is sent to the user. The “Meeting Status” will change to “Cancelled”. And the meeting will be canceled even in the video conference platform.
Rescheduling an appointment
If the scheduled start of the meeting has not yet occurred, the "Meeting Status" is "Agreed" or "Rejected", so the expert can reschedule it.
If the meeting is already scheduled, after rescheduling is started, the information that the original date of the meeting is valid will be displayed until the new date is confirmed.
To reschedule, the expert fills in the date and time of the newly proposed meeting date.
If the rejected appointment is successfully rescheduled, its date and time will be adjusted. The meeting will be approved by the expert and is waiting for the user to approve a new date. The events "Alternative date selected by expert" and "Approved by expert" are recorded on the meeting timeline. The user will receive a notification "Rescheduling a rejected appointment by an expert".
If an already scheduled meeting is successfully rescheduled, an alternate date will be set, while the original date remains in effect. The replacement date is approved by the expert and is awaiting approval of a new date from the user. The events "Alternative date selected by expert" and "Approved by expert" are recorded on the meeting timeline. The user will receive a notification "Rescheduling the agreed meeting by an expert".
Confirmation of the alternative date proposed by the user
If the scheduled start of the meeting has not yet occurred and the user suggested an alternative date to which the expert has not yet responded, the expert can confirm this alternative date. If the expert already has a confirmed appointment that overlaps with the new appointment, a time conflict warning will be displayed to the expert during confirmation.
In the case of successful confirmation, the event "Approval of alternative date by expert" is recorded on the timeline of the meeting. The user will be blocked from the required amount of meeting credits and the "Credit Payment Status" will be set to "Blocked". The "Meeting Status" will change to "Agreed" and a meeting will be created in the video conferencing platform as well. The original date of the meeting will be replaced by an alternative date.
Rejection of a replacement date proposed by the user
If the scheduled start of the meeting has not yet occurred and the alternative date has not been approved by the expert, the expert can cancel this alternative date. To reject an alternative meeting date, the expert must fill in (by selecting from the list) the reason for rejecting the meeting.
If successful, the alternate appointment is canceled and the "Expert Rejection of Alternate Appointment" event is recorded on the meeting timeline and the alternate appointment is canceled. Credits blocked by this meeting will be unblocked for the user and the “Credit Payment Status” will be set to “Returned” in the meeting.
Cancellation of the alternate date proposed by the user
If the scheduled start of the meeting has not yet occurred and the alternative date has not been approved by the user, the expert can cancel this alternative date. If successful, the alternate date is canceled and the "Expert Canceled Alternate Date" event is recorded on the meeting timeline.

In the case of a meeting scheduled and confirmed by both parties, a "Meeting reminder" notification is sent to the user 24 hours before the start of the meeting.
