The user can view the main meeting page within the Expertise in which the user is viewing the page.

On it you will see:

  • The number of meetings I'm signed up for that haven't happened yet
  • The number of meetings that have already taken place
  • List of scheduled meetings
  • List of held meetings
  • List of experts by skill 

Canceling a user-suggested meeting that has not been confirmed by an expert

If the scheduled start of the meeting has not yet occurred, the "Meeting status" is "Awaiting approval" and the expert has not yet responded, the user can cancel the meeting.

If successful, the meeting is canceled. A “Cancelled by User” event will be logged on the meeting timeline, the user's credits blocked by this meeting will be unblocked, and the meeting's “Credit Payment Status” will be set to “Returned”. The “Meeting Status” will change to “Cancelled”.

Canceling a scheduled meeting

If the scheduled start of the meeting has not yet occurred and the "Meeting Status" is "Agreed", the user can cancel the meeting. To cancel a meeting, they must fill in the reason for canceling the meeting.

If the user cancels the meeting more than 48 hours before the meeting starts, the credits will be unblocked and the "Credit Payment Status" will be set to "Returned". A "Cancelled by user" event is written to the meeting timeline, and a "Meeting canceled by user" notification is sent to the expert. The "Meeting Status" will change to "Cancelled" and the meeting will also be canceled on the video conferencing platform.

If the user cancels the meeting less than 48 hours before it starts, they will be notified that 50% of the meeting credits will be deducted. After confirmation, the meeting is cancelled, the credits are deducted, a part of them is credited to the expert (without Expertim's contribution to the technical provision of the meeting) and the "Credits payment status" is set to "Reimbursed cancellation". The events "Cancelled by User" and "Appointment Reimbursed to Expert" are recorded on the appointment timeline. The movement of credits is recorded for the user "Deduction of credits for services" and "Payment of credits for services" for the expert. A "Meeting cancellation by user" notification will be sent to the expert, the "Meeting status" will change to "Cancelled" and the meeting will be canceled itself even on the video conference platform.

Rescheduling an appointment

If the scheduled start of the meeting has not yet occurred, the "Meeting Status" is "Agreed" or "Rejected", so the user can reschedule it.

If the meeting is already scheduled, after the rescheduling is started, information is also displayed that the original date of the meeting is valid until the new date is confirmed.

To reschedule, the user fills in the date and time of the newly proposed meeting date.

If the rejected appointment is successfully rescheduled, its date and time will be adjusted. The appointment will be approved by the user and is awaiting approval of a new date from the expert. "Alternative date selected by user" and "Approved by user" events are recorded on the meeting timeline. The asking price for the meeting in credits will be blocked. The expert will receive a notification "Rescheduling a meeting rejected by the user".

If an already scheduled meeting is successfully rescheduled, an alternate date is set, while the original date remains in effect. The replacement date is approved by the user and is awaiting approval of a new date from the expert. "Alternative date selected by user" and "Approved by user" events are recorded on the meeting timeline. The expert will receive the notification "Rescheduling the appointment agreed by the user".

Confirmation of an appointment suggested by an expert

If the scheduled start of the meeting has not yet occurred, the "Meeting Status" is "Awaiting Approval" and the user has not yet responded, then the user can confirm the meeting.

If the user (either as a user or an expert) already has a confirmed appointment with an overlapping time, the user will be notified in the confirmation dialog that he already has another appointment at the given time.

If successful, a “User Approval” event is recorded on the meeting timeline. The requested meeting price in credits will be blocked and the meeting will be set to “Credit Payment Status” as “Blocked”. The "Meeting Status" will change to "Agreed". And a meeting is created on the video conference platform.

Rejecting an appointment suggested by an expert

If the scheduled start of the meeting has not yet occurred, the "Meeting Status" is "Awaiting Approval" and the user has not yet responded, then the user can decline the meeting.

When rejecting an appointment, he selects from the list "Reason for rejecting the appointment". Confirmation of an alternative date proposed by the expert

If the scheduled start of the meeting has not yet occurred and the expert has suggested an alternative date to which the user has not yet responded, the user can confirm this alternative date. If the user already has a confirmed meeting that overlaps with the new date, a time conflict notification will be displayed to them when confirming.

In case of successful confirmation, the event "Approval of replacement date by user" is recorded on the meeting timeline. The original date of the meeting will be replaced by an alternative date.

If the "Meeting Status" was "Rejected", the user's requested amount of meeting credits will be blocked and the "Credit Payment Status" will be set to "Blocked". The "Meeting Status" will change to "Agreed" and a meeting will be created on the video conferencing platform.

If the "Meeting Status" was "Agreed", the meeting will be edited on the video conferencing platform.

Rejection of the alternative date proposed by the expert

If the scheduled start of the meeting has not yet occurred and the expert has suggested an alternative date to which the user has not yet responded, the user can reject this alternative date. To reject an alternative meeting date, the user must fill in (by selecting from the list) the reason for rejecting the meeting.

If successful, the event "Rejected alternate date by user" will be recorded on the meeting timeline and the alternate date will be canceled.

Cancellation of the replacement date by the user

If the scheduled start of the meeting has not yet occurred and the alternative date has not been approved by the expert, the user can cancel this alternative date. If successful, the alternate appointment is canceled and a "User Canceled Alternate Appointment" event is recorded on the meeting timeline.

Start a meeting

The user can join the agreed meeting on the video conferencing platform from 15 minutes before the start until the time of the meeting. In this case, the user will be redirected to the site of the video conference platform with the given meeting, where he will join via a special link that will record his participation.

Confirmation and evaluation of the held meeting

For a meeting that has taken place, the user confirms and rates the meeting. In addition to confirming that the meeting took place/did not take place, the user fills in a star and text rating for the meeting. The star rating is purely for the needs of the platform operator, it will not be displayed in the rating. The verbal rating will be seen in the expert detail. If the user has already verbally rated an expert in the past, a message will appear, he can edit or add to his rating.

If successful, the progress of the meeting, the new rating and the new or modified text rating of the expert are saved. A "Meeting progress recorded by user" event is recorded on the meeting timeline.

If the user entered a text evaluation for the first time, bonus credits for completing the evaluation will be added to him and the movement of credits will be recorded in the item "My Account" as "Bonus credits for verbal evaluation".

The meeting progress will be automatically evaluated in the following cases:

  • If the user first selected "Meeting went smoothly" or "Meeting didn't take place because of me (absence, technical problems)".
  • If the expert first selected "The meeting did not take place because of me (absence, technical problems)".
  • If neither the user nor the expert evaluated the course of the meeting within 7 days (168 hours) of its end.

Notification

Sending a notification - a reminder about an upcoming meeting

In the case of a meeting scheduled and confirmed by both parties, a "Meeting reminder" notification is sent to the user 24 hours before the start of the meeting.

Sending a notification - a reminder of a meeting with a link

In the case of a scheduled meeting confirmed by both parties, the user is sent a "Meeting Link" notification 60 minutes before the meeting starts.

Sending a notification - a reminder of an unconfirmed and unrated meeting

In the case of a meeting that has already taken place and the user has not yet evaluated it, a notification "Reminder to confirm the completion and evaluation of the meeting" will be sent 1 day after it has taken place.
